Data & Crop

Doc HQ

Electronic information and data on paper or film can be outdated, incorrect or fragmented. Yet properly used, it can also be a tool to ensure a successful project.

The conversion process is an opportunity to clean and purge index data and use it to implement efficiencies and validation programs.

Considerations include:

  • Linking To Database
  • Migration From Legacy System
  • Hollerith Data Capture
  • Manual Data Entry
  • Renaming Images
  • Gross Indexing
  • HTML, XML Creation
  • PDF with OCR
  • Offshore Services

QUALITY CONTROL: Paper files often contain critical data that is not always easily accessible or legible. Data can be on various pages, in different positions or even inaccurate. Document identification must also be considered; for this reason the files to be converted must be analyzed, tested and re-tested, before detailed index conversion specifications are created. Exceptions must be addressed and the output data must be verified.

An analysis of the project by experienced professionals, will ensure that the specifications are clearly defined from the outset, to meet the requirements of the project managers as well as the users of the data.

Images and data can be validated in numerous ways, such as:

  • Validation To Existing Database
  • Double Keying
  • Proof Reading
  • Validation Programs
  • Identification Of Exceptions
  • Key searches
  • Managed Dissemination

Confidentiality may need to be addressed as well as encryption or other security measures. Corporate and regulatory requirements need to be understood.
